Position Overview:

We are expanding our team and looking for a Campus Administrative Coordinator who will be responsible for welcoming visitors and managing incoming calls at the campus reception area. This role is crucial in supporting campus operations to ensure they run smoothly and effectively. The Coordinator will act as an administrative support resource for various departments when assistance and information are needed.

Key Responsibilities:

  • Oversee the management of all electronic and physical student records maintained at the campus, including background checks, immunizations, and drug screenings to ensure compliance with relevant standards.
  • Develop and manage course schedules in the student portal, and maintain accurate student attendance records.
  • Prepare necessary correspondence and ensure proper documentation within student files.
  • Assist in organizing key events such as pinning ceremonies and graduation ceremonies.
  • Support the preparation for accreditation visits and manage check requests related to nursing reimbursements.
  • Process invoices and submit them to the accounts payable department.
  • Assist with testing and proctoring as needed.
  • Address facilities-related issues and other concerns as they arise.
  • Manage the campus community calendar, including room reservations and maintaining the reception area.
  • Support campus opening and closing procedures.
  • Compile reports and gather data to facilitate daily operations.
  • Act as a liaison with the Office of Student Records to manage official transcripts and academic files.
  • Maintain inventory and order necessary supplies for the campus.
  • Handle incoming and outgoing mail and packages efficiently.
  • Collaborate with team members to support campus and community activities, including student orientations and career fairs.
  • Foster positive relationships with colleagues and management to enhance team collaboration.
  • Adhere to all institutional and regulatory policies, maintaining a high level of integrity in all interactions.
  • Contribute positively to the learning environment and provide constructive feedback for process improvements.
  • Follow all university policies and procedures, including those related to student information privacy.
  • Prioritize tasks effectively and maintain focus amidst distractions.
  • Perform additional duties as assigned.

Reporting Structure:

The Campus Administrative Coordinator will report directly to the Campus Director and will have a dotted line reporting relationship to the Dean of Nursing.

Qualifications:

A minimum of an Associate's degree from an accredited institution is required, with a Bachelor's degree preferred. Candidates should have at least two years of experience in a fast-paced, service-oriented environment, preferably within higher education. A flexible schedule, including evenings and weekends, may be necessary.

Strong organizational skills, the ability to multitask, and proficiency in Microsoft Office Suite, particularly Excel, are essential. Experience with student information systems is a plus. Candidates must demonstrate excellent customer service skills and the ability to work both independently and collaboratively.
