Position Overview

The Operations and Events Coordinator plays a crucial role in orchestrating and collaborating on the vision, planning, and execution of significant events across the campus, such as the Kick Off and the Celebration of Achievement. This position will contribute to the formulation and execution of comprehensive support strategies, programming for Living Learning Communities, and various recruitment initiatives. The Coordinator will oversee student personnel and, in partnership with the Director, manage communications and operational functions.

Key Responsibilities

Supervision, Communication, and Operations Management (60%):

  • Supervision: Lead the recruitment and coordination of undergraduate student staff, including the creation of application processes and facilitation of evaluations, in collaboration with the Director.
  • Oversee all elements of the Student Internship program in conjunction with team members, ensuring alignment with staffing requirements.
  • Manage the annual nominations for student awards and scholarships.

Communication:

  • Act as the primary coordinator for the newsletter and social media channels, working alongside the Director and supporting student interns in content creation and training.
  • Establish strategic communication timelines to effectively promote events and collaborate with the intern team to create accessible marketing materials.
  • Update and maintain the website and other media as directed.

Operations Management:

  • Oversee the management of physical spaces, including staffing needs and promotional materials for various events.
  • Administer central email accounts and shared digital resources.
  • Manage inventory and procurement of office supplies.
  • Ensure maintenance of subscriptions and memberships.
  • Provide regular coverage of the front desk operations.
  • Handle data management to support unit sustainability and institutional practices.

Event Coordination and Program Support (40%):

  • Lead logistical planning for major events, including managing contracts, space reservations, and budget oversight in collaboration with the Director.
  • Foster relationships with campus partners to enhance collaborative programming.
  • Represent the organization on advisory boards and serve as an ambassador for outreach efforts.
  • Be available for evening and weekend events as necessary.

Program Support:

  • Assist in the development and implementation of Living Learning Community programming and holistic support initiatives.
  • Create event planning templates to streamline processes.
  • Provide guidance and support to Assistant Directors regarding logistics and budgets.
  • Conduct individual support meetings with students.
  • Collaborate with the university community to design and implement programs for upperclassmen.
  • Perform additional duties as assigned.
Qualifications

Required:

  • Bachelor's Degree with a minimum of four years of relevant experience in administration, event coordination, or student support.
  • Demonstrated ability to develop academic support strategies for diverse student populations.
  • Strong understanding of equity and diversity in relation to student development and event management.
  • Exceptional verbal and written communication skills.
  • Proficiency in Google Suite, Microsoft Office, and Adobe software.

Preferred:

  • Master's Degree in Higher Education or a related discipline.
  • Three years of full-time experience in a higher education environment.
  • Familiarity with tools such as Canva, Mailchimp, and Qualtrics.
  • Experience in supervising student employees.
