Pastoral Staff Administrative Coordinator
Title: Pastoral Staff Administrative Coordinator
Reports to: Senior Pastor and Associate Pastor
Minimum Qualifications: Demonstrated expertise in administrative and organizational functions, proficient in computer applications, exceptional interpersonal skills.
Employment Status: Salaried – Exempt
Key Responsibilities:
- Facilitate the organization of the Caring Community.
- Coordinate Leadership Team and Staff meetings, ensuring tasks are tracked.
- Provide proactive support to pastoral staff.
- Assist with research and support for preaching series.
Role Summary: This position is responsible for delivering administrative assistance to the Pastoral team, organizing the needs of the Pastoral Staff in Community Care, Healing Ministries, and the Senior Pastor. The role includes managing intake services for hospitalizations, visitations, funerals, and Healing Ministry.
Responsibilities Include:
- Support funeral staff and oversee receptionist operations.
- Coordinate meetings, manage room reservations, and handle phone and email communications.
- Field inquiries from institutions, organizations, and individuals, coordinating responses with pastors.
- Act as a central point for various questions and issues that arise.
- Lead and support the Visitation Ministry for the Caring Community.
- Address administrative needs as requested by the Pastoral Staff, including support for baptisms.
- Assist with Healing Ministry operations.
- Manage supply orders, maintain records, send correspondence, and provide necessary support.
- Contribute positively to the well-being of other staff and uphold the vision and values of North Heights Church.
- Adhere to Staff Core Values and the Constitution and Bylaws of North Heights.
- Establish and manage measurable quarterly goals aligned with the organizational vision.
- Perform additional duties as assigned that further the mission of North Heights.
Expected Outcomes:
- Provide timely support to Community Care, Healing, and Discipleship Ministries, as well as the Senior Pastor.
- Maintain accurate and timely records.
- Ensure essential ministry information is communicated promptly to the Receptionist, Information Center, and Communications.
Knowledge, Skills, and Abilities:
Required:
- Proficiency in MS Word, Excel, Publisher, PowerPoint, and Arena software.
- Ability to effectively manage multiple tasks.
- Organized record-keeping and professional work habits.
- Flexibility to respond to emerging needs and multitask efficiently.
- Strong interpersonal skills and a solid command of the English language.
Optional but Desirable:
- Associate Degree.
