WHAT WE'RE LOOKING FOR

We are looking for an organized and proactive Office Manager to support the team and ensure our office operations run smoothly. The ideal candidate will have experience working in office management or administrative support, preferably in a startup setting. Proficiency in office productivity tools, G-Suite, and Slack is essential, along with strong communication skills. If you are empathetic, open-minded, and skilled in multitasking, we want to hear from you

WHAT YOU'LL DO

Office Logistics Coordination:

  • Create and maintain comfortable working conditions, continually improving the office space.
  • Manage the office environment, ensuring all aspects are maintained and functional.
  • Order and replenish necessary supplies such as beverages, office supplies, snacks, and more.
  • Search for vendors and suppliers for catering, office supplies, travel support, and other needs. Negotiate and manage contracts with these vendors.

Employee Wellbeing:

  • Welcome new employees and assist with their onboarding process.
  • Support HR team activities.
  • Manage IT inventory, including preparing equipment for new hires and arranging returns from departing employees.
  • Reset computers, wiping them clean for redistribution.

Planning and Coordination of Internal Events:

  • Participate in organizing team buildings and company events.
  • Plan and coordinate team outings.
  • Book flights and hotels for business trips.
  • Support with corporate merchandise and deliveries.
  • Track and manage budgets for team buildings and team lunches.

Facilities Management:

  • Ensure that all aspects of the office environment are well-maintained and conducive to productivity.

Additional Responsibilities:

  • Manage ad hoc projects related to company culture and employee experience.

WHAT YOU'LL BRING

  • 2-3 years of relevant experience as an Office Manager, Administrative Assistant, or Workplace Operations Manager, preferably in a startup environment.
  • Good knowledge of G-Suites, Zoom, and Slack. Knowledge of Notion and Miro is a plus.
  • Exceptional attention to detail and problem-solving skills.
  • Strong verbal and written communication skills.
  • Ability to negotiate effectively.
  • Empathy, proactivity, and an open-minded attitude.
  • Experience in planning events for team building and celebrations.
  • Highly organized with the ability to perform a wide range of duties.
  • Strong interpersonal skills with the ability to communicate effectively with team members at all levels.
  • Ability to manage multiple tasks and projects simultaneously.
  • Must be located in the Austin, TX area.
