In the role of Senior Administrative Coordinator, you will be pivotal in a dynamic environment, utilizing your exceptional office and project management expertise to support the VP of Corporate Development and their team.

Key Responsibilities
• Ensure the VP and senior leaders are punctual and prepared through meticulous scheduling and execution of critical meetings, prioritizing tasks, and organizing complex global travel arrangements as needed.
• Develop a comprehensive understanding of business priorities and objectives to effectively prioritize meeting requests.
• Schedule and coordinate intricate executive meetings, uniting geographically dispersed teams, managing logistics, and documenting follow-up actions.
• Foster collaboration and build relationships to drive results within a global, matrixed organization undergoing transformation.
• Complete projects and special assignments by defining objectives, setting priorities, managing time, securing cooperation from others, monitoring progress, and resolving issues.
• Proactively manage multiple concurrent projects, follow up with project owners and key stakeholders, exercise discretion and independent judgment to evaluate potential actions, and creatively find solutions to meet deadlines and achieve business goals.
• Research, compile, summarize, and analyze information to facilitate decision-making and respond to inquiries from internal and external stakeholders.
• Utilize the full suite of Microsoft Office products to create high-quality correspondence, reports, and presentations.
• Attend meetings and prepare minutes as required.
• Manage expense reporting, process vendor invoices, and assist with annual budget processes.
• Demonstrate flexibility and adaptability to meet the dynamic nature of the business.
• Maintain confidential files and records.
• Collaborate with other Executive Assistants and Administrative Staff to provide coverage during absences or special circumstances.
• Occasionally coordinate travel support outside of regular hours and on weekends.
Qualifications
• Associate or Bachelor's degree.
• 10+ years of experience as an executive assistant in a professional office setting (experience in large organizations preferred), with a focus on C-level support welcomed.
• Proven ability to work independently to identify, analyze, and creatively solve problems.
• Experience managing multiple projects and meeting deadlines independently.
• Strong organizational and time management skills to handle multiple priorities with competing deadlines.
• Excellent problem-solving abilities and reasoning skills to independently address project challenges.
• Exceptional written and verbal communication skills, with a keen eye for proofreading and spelling.
• Solid judgment, tact, and diplomacy skills in interactions with stakeholders, along with the ability to manage highly confidential information.
• Flexible and adaptable, capable of responding to last-minute changes while maintaining composure and a positive attitude.
• Extensive experience in international travel management, including visa administration.
• Proficiency in all Microsoft Office suite products, including PowerPoint, Excel, Outlook, and Visio.
• Familiarity with Concur or other expense management systems.
