Executive Assistant – Pastoral Team & Community Support

Title: Executive Assistant – Pastoral Team

Reports to: Senior Pastor and Associate Pastor

Minimum Qualifications: A demonstrated track record of exceptional administrative and organizational capabilities, proficient in computer applications, and possessing strong interpersonal skills.

Employment Status: Salaried – Exempt

Key Responsibilities:

  • Facilitate the organization of the Caring Community
  • Coordinate Leadership Team and Staff meetings, ensuring tasks are tracked
  • Proactively assist pastors in their duties
  • Support and conduct research for preaching series

Position Summary: This role provides vital administrative assistance to the Pastoral team, focusing on organizing the needs of the Pastoral Staff in Community Support, Healing Ministries, and the Senior Pastor. The position includes managing intake services for hospitalizations, visitations, funerals, and Healing Ministry.

Responsibilities and Duties:

  • Assist the funeral staff and oversee the receptionist team
  • Coordinate meetings, manage room reservations, and handle phone and email communications.
  • Field inquiries from institutions, organizations, and individuals; collaborate with pastors.
  • This desk serves as a central point for numerous inquiries and issues, which constitutes a significant portion of daily responsibilities.
  • Lead and support the Visitation Ministry for the Caring Community
  • Address administrative needs as requested by the Pastoral Staff (including baptisms).
  • Support the Healing Ministry
  • Manage supply orders, maintain records, send correspondence, and provide assistance
  • Contribute positively to the well-being of other staff and uphold the vision and values of North Heights Church
  • Adhere to Staff Core Values.
  • Comply with the Constitution and Bylaws of North Heights
  • Establish and manage measurable quarterly goals aligned with our vision
  • Perform other duties as assigned that further the mission of North Heights

Expected Outcomes from this Role:

  • Provide timely support to the Community Support, Healing, and Discipleship Ministries and the Senior Pastor.
  • Maintain timely and accurate records.
  • Ensure the provision of essential ministry information to the Receptionist, Information Center, and Communications.

Knowledge, Skills, and Abilities:

Required:

  • Proficient in MS Word, Excel, Publisher, PowerPoint, and Arena software
  • Ability to effectively manage multiple tasks
  • Organized record-keeping and work habits
  • Flexibility to respond to emerging needs and multitask
  • Strong interpersonal skills and proven command of the English language

Optional, but desirable:

  • Associate Degree
