Overview

This position represents the advanced tier of administrative coordination, offering comprehensive support across various operational domains to senior management, including Division Directors and Deputy Directors. A key responsibility of this role is to act as a representative of the agency, providing expert guidance and consultation on policy and administrative issues to all management levels. Typically, only one Senior Administrative Coordinator will be assigned to each senior manager.

Core Responsibilities

The core responsibilities outlined here are essential functions common to all roles within this classification and are not intended to be an exhaustive list of duties for any specific position. Implements agency regulations, policies, and procedures in the management and processing of agency information. Produces official agency documents; develops and maintains databases, typically utilizing Access or similar software; creates and manages spreadsheets; designs original presentations using various software tools. Acts as a liaison with the public, clients, agency personnel, and others to share information and clarify agency services, regulations, and policies. Ensures effective coordination of operational activities. Establishes monitoring systems and follows up to guarantee effective resolution of issues. Gathers, organizes, and drafts technical and administrative materials for public information or departmental purposes. Compiles data to prepare reports and supporting documentation. Evaluates routine operational practices and procedures, making recommendations to enhance office efficiency. Maintains and organizes data and filing systems to ensure accurate and easily accessible documentation of operations, programs, and project activities. May supervise or oversee junior staff members.

Job Qualifications

REQUIREMENTS for Senior Administrative Coordinator
Candidates must demonstrate competence in the following areas:

Two years of experience in coordinating administrative support operations, managing workflow, and resolving issues while providing guidance to management and clients on administrative matters. Two years of experience in conducting research from diverse sources, analyzing collected data, and preparing reports, correspondence, and administrative documents. One year of experience utilizing an automated information system for data entry, updates, modifications, deletions, retrievals, and reporting. One year of experience with standard software applications for word processing, spreadsheets, or databases.

Employment Conditions

Candidates must be legally authorized to work in the United States. The State of Delaware Executive Branch participates in the Federal E-Verify system, where the State will provide the federal government with each new hire's Form I-9 information to confirm work authorization in the U.S.
