Position Overview
This role involves performing administrative functions and acting as a representative for customer service. Responsibilities will include, but are not limited to, tasks such as organizing files, maintaining records, entering data, handling phone inquiries, and managing correspondence.
Key Responsibilities
The following are essential functions that are fundamental to this position and may not encompass all duties:
- Implements agency regulations, policies, and procedures while managing and processing information.
- Develops official documentation for the agency; maintains databases and spreadsheets, and creates presentations using various software tools.
- Acts as a liaison with the public, clients, and agency personnel to provide information and clarify agency services and regulations.
- Ensures effective coordination of operational activities.
- Establishes monitoring systems and follows up to guarantee the resolution of issues.
- Gathers, organizes, and prepares technical and administrative materials for public information or departmental use. Compiles data to create reports and provide necessary documentation.
- Evaluates routine operational practices and suggests improvements for efficient office management.
- Maintains organized data and filing systems to ensure accurate and easily accessible documentation of operations and projects.
- May supervise or oversee the work of junior staff members.
Qualifications
Requirements for Administrative Operations Coordinator
Candidates must demonstrate proficiency in the following areas:
- A minimum of two years of experience in managing administrative support functions, tracking workflows, and resolving issues while providing guidance on administrative matters.
- At least two years of experience in conducting research from diverse sources, analyzing collected data, and preparing reports and administrative documents.
- One year of experience utilizing an automated information system for data entry, updates, modifications, retrieval, and reporting.
- One year of experience with standard computer software for word processing, spreadsheets, or database management.
