Position Summary

The selected candidate will perform essential administrative functions and act as a point of contact for customer service inquiries. Responsibilities will include, but are not limited to, tasks such as managing documentation, maintaining records, data entry, handling communications, and executing mail distributions.

Key Responsibilities

The following are core responsibilities expected of this role, which are not exhaustive but provide a clear overview of the position:

  • Implements agency policies, regulations, and procedures while managing and processing organizational information.
  • Develops official documents, maintains databases using software like Access, and creates spreadsheets and presentations.
  • Acts as a liaison to facilitate communication between the public, clients, and agency personnel, providing clarity on services and regulations.
  • Ensures effective coordination of operational activities.
  • Establishes and maintains tracking systems to monitor and resolve issues efficiently.
  • Gathers, organizes, and prepares technical and administrative materials for public or departmental use, compiling data for reports.
  • Evaluates standard operating procedures and recommends improvements for optimal office functionality.
  • Maintains organized filing systems to ensure accurate and accessible documentation of operations and projects.
  • May supervise or guide junior staff members.

Qualifications

Requirements for Administrative Operations Coordinator
Candidates must demonstrate proficiency in the following areas:

  • A minimum of two years of experience in managing administrative support functions, overseeing workflow, and providing guidance on administrative issues.
  • At least two years of experience in conducting comprehensive research, analyzing data, and preparing various reports and documents.
  • One year of experience utilizing automated information systems for data management tasks.
  • One year of experience with standard software applications for word processing, spreadsheets, or database management.
