The Administrative Operations Specialist plays a pivotal role in managing the financial and operational elements associated with various programs. This position is tasked with delivering comprehensive financial reports, performance metrics, and updates to ensure that the agency's objectives are achieved efficiently. The role demands a high degree of self-initiative to fulfill the agency's mission effectively. Furthermore, this position engages directly with the public, addressing inquiries related to program offerings and operational policies.
Key Responsibilities
- Implement agency regulations, policies, and procedures to manage and process information effectively.
- Develop official documentation and maintain databases, utilizing software such as Access or equivalent tools.
- Act as a liaison among the public, clients, and agency personnel to disseminate information regarding services and regulations.
- Ensure seamless coordination of operational activities.
- Establish and maintain tracking systems to monitor progress and resolve issues efficiently.
- Gather, organize, and draft necessary technical and administrative materials for public dissemination or departmental needs.
- Evaluate routine operational practices and propose enhancements for improved office efficiency.
- Manage data and filing systems to guarantee accurate and accessible documentation of operations and projects.
- May supervise or guide junior staff members.
Qualifications
To qualify for the Administrative Operations Specialist role, candidates must demonstrate proficiency in the following areas:
- A minimum of one year of experience in coordinating office functions, including meeting planning, workflow tracking, and customer service.
- At least one year of experience in document management, ensuring compliance with relevant standards and resolving discrepancies.
- One year of experience utilizing automated information systems for data management and reporting.
- Proficiency in standard software applications for word processing, spreadsheets, or database management.
Employment Conditions
