Overview
The selected candidate will deliver comprehensive administrative assistance to the Chief and Deputy Chief of Planning, Research, and Reentry. This division is responsible for overseeing and coordinating initiatives related to prisoner reintegration, spearheading the Department's data collection and analytical efforts, facilitating strategic planning, ensuring accreditation and compliance, and managing projects and grants for various bureau initiatives. This role is vital for organizing and coordinating the administrative functions of the unit. Responsibilities include scheduling meetings with internal and external stakeholders, handling routine correspondence, maintaining filing systems, record management, coordinating travel and training arrangements, procuring supplies, monitoring budget expenditures for grants and unit operations, and performing other administrative tasks as required.Key Responsibilities

Implements agency laws, regulations, policies, and procedures in the management and processing of agency information.Develops official agency documents; creates and maintains databases typically using Access or similar software; designs and maintains spreadsheets; prepares original presentations using various software tools.
Acts as a liaison with the public, clients, agency personnel, and others to share information and clarify agency services, laws, regulations, policies, and procedures.
Ensures effective coordination of operational functions.
Establishes tracking and monitoring systems and conducts follow-ups to guarantee effective resolution of issues.
Gathers, organizes, and drafts technical and administrative materials necessary for public information or departmental use.
Collects and compiles data to generate reports and provide supporting documentation.
Evaluates routine operational practices and procedures and makes recommendations to promote smooth and efficient office operations.
Maintains and oversees data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations, programs, and project activities.
May supervise or oversee the work of lower-level employees.
