Overview

The selected candidate will offer vital administrative assistance to the Chief and Deputy Chief of Planning, Research, and Reentry. This division is responsible for overseeing and coordinating initiatives related to prisoner reentry, leading data collection and analysis efforts, facilitating strategic planning, ensuring compliance and accreditation, and managing projects and grants across multiple bureaus. This role is crucial for organizing and streamlining administrative functions within the unit. Responsibilities encompass scheduling meetings with various stakeholders, managing routine correspondence, maintaining filing systems, organizing travel and training, procuring supplies, monitoring expenditures for grants and unit budgets, and executing other administrative tasks as required.

Key Responsibilities

The following duties are essential and represent core functions common to all positions within this classification. They are not intended to be an exhaustive list of all responsibilities for any one position.

Implements agency laws, regulations, policies, and procedures in the management and processing of agency information.
Produces official agency documents; develops and maintains databases typically using Access or similar software; creates and manages spreadsheets; designs original presentations utilizing various software tools.
Acts as a liaison with the public, clients, agency personnel, and others to share information and clarify agency services, laws, regulations, policies, and procedures.
Ensures effective coordination of operational functions.
Establishes tracking and monitoring systems and follows up to guarantee effective resolution of issues.
Gathers, organizes, and drafts technical and administrative materials necessary for public information or departmental use.
Collects and compiles data to generate reports and provide supporting documentation.
Evaluates routine operational practices and procedures, offering recommendations to enhance smooth and efficient office operations.
Maintains and oversees data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations, programs, and project activities.
May supervise or oversee lower-level staff.

Qualifications

REQUIREMENTS for Administrative Specialist II
Candidates must possess education, training, and/or experience demonstrating proficiency in each of the following areas:

A minimum of one year of experience coordinating office activities, including planning and organizing meetings or conferences; tracking workflow and follow-up; composing meeting notes; directing clients/customers; explaining services to the public and clients; establishing or maintaining filing and record systems. At least one year of experience in document processing, which involves reviewing and assessing records for completeness and compliance with laws, regulations, standards, policies, and procedures, resolving deficiencies, interpreting information, and tracking and monitoring activities. A minimum of one year of experience utilizing an automated information system to enter, update, modify, delete, retrieve, and report on data. At least one year of experience using standard computer software programs for word processing, spreadsheets, or databases.
