Position Summary

This role involves performing administrative functions and acting as a representative for customer service. Responsibilities will include, but are not limited to, administrative tasks such as: organizing files, maintaining records, data entry, responding to inquiries, and managing correspondence.

Key Responsibilities

The essential duties outlined below are core responsibilities that are typical for all positions within this classification and are not intended to be an exhaustive list of all job functions:

  • Implements agency regulations, policies, and procedures in managing and processing information.
  • Develops official agency documents; creates and maintains databases, typically utilizing software such as Access; generates and manages spreadsheets; designs presentations using various software tools.
  • Acts as a point of contact for the public, clients, agency personnel, and others to share information and clarify agency services, regulations, and procedures.
  • Ensures effective coordination of operational activities.
  • Establishes monitoring systems and follows up to guarantee effective resolution of issues.
  • Gathers, organizes, and prepares technical and administrative materials necessary for public information or departmental purposes. Compiles data to generate reports and provide supporting documentation.
  • Evaluates routine operational practices and suggests improvements to ensure efficient office functioning.
  • Maintains and organizes data and filing systems to ensure effective, accurate, and easily accessible documentation of operations, programs, and projects.
  • May supervise or oversee the work of junior staff members.

Qualifications

REQUIREMENTS for Administrative Specialist III
Candidates must possess education, training, and/or experience demonstrating proficiency in the following areas:

  • A minimum of two years of experience in coordinating administrative support functions, managing workflow, and resolving issues while providing guidance to management and clients on administrative matters.
  • At least two years of experience in conducting research from various sources, analyzing collected data, and preparing reports, correspondence, and administrative documents.
  • One year of experience in utilizing an automated information system for data entry, updates, modifications, deletions, retrievals, and reporting.
  • One year of experience in using standard software applications for word processing, spreadsheets, or database management.
