Position Overview

The Imaging Administrative Coordinator plays a vital role in ensuring the efficient operation of Imaging Services at Mass General Brigham. This position is essential for supporting patient care, facilitating communication between patients and healthcare professionals, and maintaining a welcoming environment.

Key Responsibilities

  • Welcome and assist all visitors to the Imaging department, providing exceptional customer service and responding to inquiries in accordance with established standards.
  • Coordinate patient arrivals and communicate effectively with Technologists and Sonographers to manage patient flow and address any potential delays.
  • Utilize the hospital's intranet to access and manage departmental documentation and forms.
  • Guide patients and their guardians through necessary pre-procedure paperwork, ensuring all required consents are completed.
  • Support daily reconciliation of patient schedules and provider orders, promptly addressing any discrepancies with management.
  • Perform administrative tasks such as filing, faxing, and photocopying, as well as maintaining office equipment and supplies.
  • Assist in the orientation and training of new staff and volunteers, providing supervision as needed.

Exhibit professionalism in all interactions, utilizing effective communication skills and demonstrating flexibility in adapting to changing priorities.

Technology Management

Manage electronic imaging and record systems, ensuring accurate data entry and compliance with HIPAA regulations. Maintain proficiency in relevant software applications, including Microsoft Office Suite and EPIC.

Patient Registration and Scheduling

Accurately handle patient registration and scheduling for imaging appointments, ensuring all demographic and insurance information is up-to-date to facilitate seamless billing processes.

Qualifications

Experience:

  • Minimum of two years in an administrative role, preferably within a healthcare environment.

Education:

  • High School diploma with business coursework and strong computer skills.

Skills:

  • Proficiency in Microsoft Office and ability to manage multiple tasks in a fast-paced setting.
  • Strong interpersonal skills and a commitment to providing excellent customer service.
  • Knowledge of medical terminology and effective communication abilities, both written and verbal.
