Overview

This position represents the advanced tier of administrative coordination, offering essential support across various operational sectors to a Division Director, Deputy Director, or the head of a significant operational unit within an administrative framework, typically at a senior management level. A key responsibility of this role is to act as a representative of the agency, providing expert guidance and consultation to all management levels on policy-related inquiries and administrative issues. Generally, only one Senior Administrative Coordinator will be assigned to a manager as described above.

Core Responsibilities

Implements agency laws, regulations, policies, and procedures in the management and processing of agency information. Develops official agency documentation; creates and maintains agency databases, typically utilizing Access or comparable software; generates and manages spreadsheets; designs original presentations using various software tools. Acts as a liaison with the public, clients, agency personnel, and others to share information and clarify agency services, laws, regulations, policies, and procedures. Ensures effective coordination of operational functions. Establishes tracking and monitoring systems and conducts follow-ups to guarantee effective resolution of issues. Gathers, organizes, and drafts technical and administrative materials necessary for public information or departmental purposes. Compiles data to prepare reports and provide supporting documentation. Evaluates routine operational practices and procedures, offering recommendations to ensure smooth and efficient office operations. Maintains and oversees data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations, programs, and project activities. May supervise or oversee lower-level staff.

Job Qualifications

QUALIFICATIONS for Senior Administrative Coordinator
Candidates must demonstrate education, training, and/or experience in each of the following areas:

Two years of experience in coordinating administrative support operations, managing workflow, and resolving issues, while providing guidance and consultation to management, clients, and others on administrative matters. Two years of experience in conducting research from various sources, analyzing collected data, and preparing reports, letters, and administrative documents. One year of experience in utilizing an automated information system to enter, update, modify, delete, retrieve/inquire, and report on data. One year of experience in using standard computer software applications for word processing, spreadsheets, or databases.

Employment Conditions

Candidates must be legally authorized to work in the United States. The State of Delaware Executive Branch participates in the Federal E-Verify system, where the State will provide the federal government with each new hire's Form I-9 information to confirm work authorization in the U.S.
