Overview

The selected candidate will deliver administrative assistance to the Chief and Deputy Chief of Planning, Research, and Reentry. This department is responsible for overseeing and coordinating prisoner reentry initiatives, leading data collection and analysis efforts, facilitating strategic planning, ensuring accreditation and compliance, and managing projects and grants across multiple bureaus. This role is vital for organizing and streamlining administrative functions within the unit. Responsibilities encompass scheduling meetings with various stakeholders, managing routine correspondence, maintaining filing systems, coordinating travel and training, procuring supplies, monitoring budget expenditures for grants and unit operations, and performing other administrative tasks as required.

Key Responsibilities

The following are essential functions common to all positions within this classification and are not intended to be an exhaustive list of all duties for any single position:

Implements agency laws, regulations, policies, and procedures while maintaining and processing agency information.
Develops official agency documents; creates and manages databases typically using Access or similar software; designs and maintains spreadsheets; prepares original presentations utilizing various software tools.
Acts as a liaison with the public, clients, agency personnel, and others to share information and clarify agency services, laws, regulations, policies, and procedures.
Ensures effective coordination of operational functions.
Establishes tracking and monitoring systems and follows up to guarantee effective resolution of issues.
Gathers, organizes, and drafts technical and administrative materials necessary for public information or departmental use.
Collects and compiles data to generate reports and provide supporting documentation.
Evaluates routine operational practices and procedures, making recommendations to enhance smooth and efficient office operations.
Maintains and oversees data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations, programs, and project activities.
May supervise or oversee the work of lower-level employees.

Qualifications

Requirements for Administrative Specialist II
Candidates must possess education, training, and/or experience demonstrating proficiency in the following areas:

A minimum of one year of experience coordinating office activities, including planning and organizing meetings or conferences, tracking workflow and follow-up, composing meeting notes, directing clients/customers, and explaining services to the public and clients; establishing or maintaining filing/record systems. At least one year of experience in document processing, which includes reviewing and evaluating records for completeness and compliance with laws, regulations, standards, policies, and procedures; resolving deficiencies, interpreting information, and tracking and monitoring activities. One year of experience utilizing an automated information system for data entry, updates, modifications, deletions, retrievals, and reporting. One year of experience with standard computer software programs for word processing, spreadsheets, or databases.
