ROLE SUMMARY
As an Administrative Executive supporting our CFO, Chief of Staff/Strategy, and CLO, you will undertake a variety of administrative, organizational, and communication responsibilities designed to assist our leaders and their teams. This role enables executives to concentrate on strategic objectives while ensuring smooth daily operations. Your duties will include managing calendars, coordinating meetings, facilitating communications, and promoting efficient departmental operations. The ideal candidate will be a proactive problem solver with outstanding communication and interpersonal abilities, coupled with a keen attention to detail. Previous experience in an office setting performing administrative tasks is essential. This position offers part-time hours ranging from 10-20 per week, with the potential for full-time employment.
KEY RESPONSIBILITIES
- Handle confidential information with the highest level of discretion and integrity, ensuring privacy across all communications and documentation.
- Coordinate and manage intricate calendars, schedule meetings, and provide timely reminders for executives and key stakeholders.
- Assist executives in focusing on strategic initiatives by effectively managing daily operations and ensuring they receive the necessary support.
- Organize and track various projects, ensuring deadlines are met and facilitating communication among teams and stakeholders.
- Arrange travel itineraries, accommodations, and logistics for department leaders and team members as needed.
- Support the organization and coordination of events, conferences, and departmental gatherings.
- Maintain and organize critical files, databases, and information systems related to technology initiatives.
- Perform various administrative tasks such as expense reports, budget tracking, and other ad hoc requests from leadership.
- Be prepared to address unforeseen challenges, adapt to shifting priorities, and proactively seek solutions to enhance processes and support efficiency.
- Assist leaders in preparing presentations by applying effective design principles and content curation.
- Facilitate productive interactions and communication channels between leaders and their teams to foster collaboration and synergy.
QUALIFICATIONS
- 3-5 years of proven experience as an executive assistant or in a similar capacity, preferably within the technology sector for senior SG&A and Strategy executives.
- Strong organizational and time management skills, with the ability to effectively support multiple executives.
- Clear and concise communication skills, both verbal and written, with a commitment to maintaining confidentiality.
- General office experience with proficiency in computers, Gmail, Google Sheets, and Slides.
- Highly motivated and results-oriented with an entrepreneurial mindset.
- Experience in booking domestic and international travel.
- Prior experience managing vendors with discretion and professionalism.
- Ability to collaborate effectively across all functions and levels of the organization.
- Exceptional follow-up skills to ensure timely and thorough communication with leadership.
