Position Title: Senior Administrative Coordinator

Location: Remote (Hybrid)

Compensation: $30/hr - $35/hr (No benefits included)

Contract Duration: 3 Months

Essential Qualifications:

  • At least 4 years of relevant experience in a similar capacity.
  • Proficient in organizing meetings, managing calendars, and coordinating travel arrangements (both international and domestic).
  • Demonstrated expertise in orchestrating various types of meetings (e.g., town halls, global conferences).
  • Experience in overseeing contract approvals and maintenance.
  • Ability to assist in the development of presentations, newsletters, and other communications.
  • Skilled in creating and managing SharePoint sites.
  • Support required for 5 senior leadership members.
  • Technologically adept, with knowledge of MS Office Suite, Concur, Ebuy, and Smartsheet being advantageous.

Educational Background: An Associate's Degree is required; a Bachelor's Degree is preferred.

Job Responsibilities:

  • Provide comprehensive administrative assistance to one or more managers.
  • Responsibilities may differ based on the department and management levels supported.
  • Handle administrative tasks that necessitate a thorough understanding of departmental functions, including the preparation of accurate correspondence, reports, and analyses.
  • Maintain confidentiality while managing sensitive materials and information.
  • Assist with special projects as assigned by management.
  • Propose enhancements to administrative processes and implement necessary changes. Responsible for organizing and maintaining the department's filing system, including confidential data.
  • Oversee departmental communications for managers, including managing mail and email inquiries.
  • Coordinate meetings, maintain calendars, and arrange travel logistics.
  • Provide clerical support as needed, including filing, faxing, copying, and data entry tasks.
  • May offer guidance and training to junior administrative staff. Perform additional duties as required.
  • Frequent interactions with individuals from other departments and external organizations.
  • Engage in communications that involve obtaining or providing information pertinent to departmental functions, which may be sensitive in nature.
  • Exhibit proficiency in applying necessary skills and leverage additional knowledge gained through experience to manage more complex tasks independently.
  • Typically operates with minimal supervision on routine assignments, receiving general guidance on new tasks, which are reviewed upon completion.
  • Required Experience: 4 years in a related position. Minimum Education: Associate's Degree, Bachelor's Degree preferred.
