Position Overview: Executive Administrative Coordinator

Location: Hybrid Work Environment

Contract Duration: 4 months

Compensation: Starting at $30.00/hr.

Important Notes:

• Local candidates are preferred.
• Paid parking is required at the work site.

Key Qualifications:

  • At least 4 years of relevant experience in an administrative capacity.
  • Proficient in scheduling meetings, managing calendars, and organizing travel arrangements (both international and domestic).
  • Demonstrated ability to coordinate large meetings and events.
  • Experience in reviewing and managing contract approvals.
  • Skilled in preparing presentations, newsletters, and various communications.
  • Ability to create and maintain SharePoint sites.
  • Support for five senior leadership members.
  • Technologically adept, with proficiency in MS Office Suite, Concur, Ebuy, and Smartsheet (preferred).
  • Minimum educational requirement: Associate's Degree; Bachelor's Degree is preferred.
  • Provide comprehensive administrative support to managers, with responsibilities varying by department.
  • Handle administrative tasks that require a thorough understanding of departmental functions.
  • Prepare accurate correspondence, reports, and analyses while maintaining confidentiality.
  • Assist with special projects and recommend improvements to administrative processes.
  • Organize and maintain the department's filing system, including sensitive information.
  • Manage communication for managers, including mail and email correspondence.
  • Respond to inquiries for information in accordance with established guidelines.
  • Coordinate meetings, maintain calendars, and arrange travel as needed.
  • Provide clerical support as necessary, including filing, copying, and data entry.
  • May offer guidance and training to junior administrative staff.
  • Complete additional tasks as assigned, with frequent interaction with other departments and external organizations.
  • Engage in communication that involves obtaining or providing important information.
  • Demonstrated ability to apply requisite skills and knowledge to perform complex tasks independently.
  • Generally operate with minimal supervision on routine assignments.
  • Receive general instructions for new tasks, which will be reviewed upon completion.

Experience Requirement: 4 years in a related administrative role.

Educational Requirement: Associate's Degree; Bachelor's Degree preferred.
