Overview

Position Summary


We are seeking a proactive and skilled administrative professional to deliver comprehensive support to the TOQ organization, including senior management and their respective teams.

The ideal candidate will demonstrate a strong desire to learn and possess a positive, can-do attitude.

Key Responsibilities

• Focus on meticulous calendar management, encompassing daily, weekly, and monthly meetings, as well as multi-tiered meetings involving numerous participants across various locations and time zones.
• Manage expenses through the Concur system efficiently.
• Organize travel arrangements, including flights, accommodations, and transportation, along with occasional coordination of work-related events and large meetings.
• Initiate the creation of new vendor accounts and generate purchase order requests.
• Prepare documentation for meetings, presentations, and special initiatives.
• Handle sensitive information with the utmost confidentiality and discretion.
• Coordinate logistics for meetings and company-sponsored events, including catering orders, facility requests, and attendee management.
• Collaborate closely with fellow executive assistants to ensure departmental needs are met.
• Provide support to other TOQ assistants as necessary.
• Work cross-functionally to maintain smooth day-to-day operations.

Qualifications

• Bachelor's Degree with a minimum of 3 years of relevant experience, OR an Associate's Degree with 5+ years of experience, OR a GED equivalent with 7+ years of experience.
• Exceptional organizational, verbal, and written communication skills are essential.
• Proficiency in MS Office applications, including PowerPoint, Excel, and Word, is required.

This candidate must be a collaborative team player with a keen attention to detail and the ability to prioritize tasks effectively.

He/she should demonstrate sound judgment, work independently while also following instructions, communicate professionally, meet deadlines, and adapt to various situations in a dynamic, fast-paced environment.

Compensation
The pay range for this position is between $35-44/hr, depending on experience.
