Position Overview: Executive Administrative Coordinator

Location: Hybrid

Contract Duration: 4 months

Starting Compensation: $30.00/hr.

Key Qualifications:

  • At least 4 years of experience in a comparable administrative role
  • Expertise in organizing meetings, managing calendars, coordinating travel (both international and domestic), and handling expense reports
  • Proven skills in organizing significant meetings (such as town halls and global conferences)
  • Experience in overseeing contract approvals and maintenance
  • Ability to assist in the creation of presentations, newsletters, and various communications
  • Proficient in creating and maintaining SharePoint sites
  • Support for five senior leadership team members
  • Technologically adept, with knowledge of MS Office Suite, Concur, Ebuy, and Smartsheet (preferred)
  • Minimum educational requirement: AA Degree; Bachelor's degree is highly preferred
  • Provide comprehensive administrative support to one or more managers, with duties varying by department and management level
  • Demonstrate thorough knowledge of departmental functions to provide effective administrative support
  • Responsibilities include drafting grammatically correct correspondence, reports, tables, and analyses while maintaining confidentiality
  • Assist with special projects as assigned and recommend improvements to administrative processes
  • Manage the organization and upkeep of the department's filing system, including confidential information
  • Oversee departmental communications for managers, including mail and email management
  • Respond to inquiries for information according to established guidelines
  • Coordinate meetings, maintain calendars, and arrange travel as needed
  • May provide clerical support, including filing, faxing, copying, and data entry
  • May offer guidance and training to junior administrative staff
  • Perform additional duties as requested, with frequent interactions with individuals from other departments and external organizations
  • Contacts may involve obtaining or providing information of moderate importance to departmental functions
  • Demonstrated ability to apply requisite skills and knowledge to perform complex tasks
  • Generally, no instructions are provided for routine assignments, while new work is reviewed upon completion

Experience Requirement: 4 years in a related position.

Educational Requirement: AA Degree; Bachelor's degree preferred.
