Position Overview

The Division of Social Science is in search of a meticulous, proactive, and seasoned administrator to provide comprehensive, primarily on-campus support for the Dean of Social Science. The Administrative Coordinator will deliver direct executive assistance to the Dean, acting as the primary point of contact for both internal and external stakeholders, while managing all decanal, scholarly, and external commitments. This role will closely collaborate with the Divisional team to ensure the seamless operation of the office and the effective execution of the Dean's priorities. Additionally, the Coordinator will oversee the support activities of a part-time Faculty Assistant in the Dean's department.

Key Responsibilities

  • Office Management: Maintain a presence in the main office four days a week, handling phone inquiries, welcoming visitors, and executing various tasks that require on-campus attendance, such as printing and event setup.
  • Calendar Coordination: Work closely with the Administrative Coordinator to manage the Dean's complex schedule, balancing academic commitments, scholarly activities, and external engagements. Serve as the gatekeeper for the Dean's calendar, ensuring efficient time management.
  • Email Management: Conduct daily reviews of the Dean's email, filtering out irrelevant messages, flagging important communications, and drafting responses that align with the Dean's tone and style.
  • Meeting and Event Planning: Organize and prepare materials for meetings, including agendas and supporting documents. Research and arrange venues, catering, and necessary technical support for events.
  • Supervision: Delegate and oversee tasks for the part-time Faculty Assistant, ensuring compliance with policies regarding travel and reimbursements, and managing the Dean's scholarly correspondence.

Qualifications

Applicants should possess a college degree or equivalent experience, with a minimum of five years in a support role for senior or executive staff. Candidates should demonstrate experience in academic or corporate administrative environments, showcasing proficiency in complex scheduling, event management, and financial reconciliation. Strong skills in Microsoft Office applications are essential, along with the ability to handle confidential information with discretion. Ideal candidates will exhibit exceptional judgment, organizational skills, and the ability to work independently while being part of a collaborative team.
