Position Overview
We are seeking a proactive and experienced administrative professional to deliver comprehensive support to the TOQ division, including senior management and their respective teams.
The ideal candidate will demonstrate a strong desire to learn and a positive, can-do attitude.
Key Responsibilities
- Primary focus on managing calendars, which includes organizing daily, weekly, and monthly meetings as well as coordinating multi-level meetings across various attendees, locations, and time zones.
- Manage expenses through the Concur system.
- Coordinate travel arrangements, including flights, accommodations, and transportation, along with occasional work-related events and large meetings.
- Initiate the creation of new vendor requests and generate purchase orders.
- Prepare materials for meetings, presentations, and special projects.
- Handle sensitive information with the utmost confidentiality and professionalism.
- Organize logistics for meetings and company-sponsored events, including catering, facility requests, and attendee management.
- Collaborate with other executive assistants to ensure departmental needs are fulfilled.
- Provide backup support to fellow TOQ assistants as necessary.
- Work cross-functionally to maintain smooth day-to-day operations.
Qualifications
- Bachelor’s degree with a minimum of 3 years of relevant experience, or an Associate’s degree with 5 years of experience, or a GED equivalent with 7 years of experience.
- Exceptional organizational, verbal, and written communication skills are essential.
- Proficiency in MS Office applications, including PowerPoint, Excel, and Word, is required.
- The candidate must be a collaborative team player with a keen attention to detail and the ability to prioritize tasks effectively.
- Must demonstrate sound judgment, work independently while also following instructions, communicate professionally, meet deadlines, and adapt to various situations in a dynamic, fast-paced environment.

- A collaborative spirit with enthusiasm for tackling new challenges in a rapidly changing industry.
