Executive Administrative Coordinator
The Hollister Group is in search of an Executive Administrative Coordinator to provide essential support to a senior faculty member within a distinguished educational institution. This role is pivotal in delivering comprehensive administrative assistance, requiring a candidate who is not only experienced but also poised, meticulous, and adept at managing multiple responsibilities in a dynamic setting. While prior experience in an academic environment is advantageous, it is not a prerequisite. The selected individual must be prepared to work full-time on-site.
Key Responsibilities:
- Facilitate and execute administrative functions, including scheduling appointments, organizing calendars, and coordinating meetings.
- Oversee office operations, maintain electronic records, and update web content.
- Track and manage invoices, expenses, and process payment requests.
- Handle intricate calendar management and meeting logistics.
- Participate in high-level meetings, assist in drafting correspondence and reports, and ensure accurate record-keeping.
- Plan and coordinate events, including catering arrangements for meetings and gatherings.
- Establish and maintain efficient administrative systems and processes, ensuring effective communication and scheduling.
- Collaborate closely with other departmental staff to guarantee timely and effective office support services.
- Engage regularly with staff on various matters to foster a collaborative environment.
- Analyze and compile data from diverse sources for review and decision-making.
- Manage office equipment and technology, ensuring proper functionality and maintenance.
- Work alongside department personnel and external vendors for equipment upkeep and repairs.
Qualifications & Skills:
- A Bachelor's degree is required, along with a minimum of 5 years of relevant administrative experience.
- Ability to adapt to fluctuating workloads and the evolving needs of the organization.
- Proficient in problem-solving and executing a wide range of advanced technical applications.
- Detail-oriented with the capacity to manage diverse and confidential tasks simultaneously in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with FileMaker Pro, QuickBase, Adobe Acrobat, and Drupal is preferred.
- Experience with GAP and Grade20 is a plus.
