Position Overview:

The Building Secretary plays a vital role in ensuring the smooth operation of administrative functions within the Allentown School District. This position involves managing schedules, facilitating communication, and providing essential support to school officials.

Qualifications:
  • Two to three years of relevant experience and/or training.
  • Proficient in completing assigned administrative tasks with a high degree of accuracy while maintaining confidentiality of sensitive information.
  • Strong reading comprehension skills for instructions, correspondence, and memos.
  • Mathematical proficiency in basic operations including addition, subtraction, multiplication, and division.
  • Able to follow instructions provided in various formats, including written, oral, or diagrammatic.
  • Competent in utilizing the Internet for research and analysis of documents and procedures.
  • Proficient in Microsoft Office applications, particularly spreadsheets and word processing.
  • Demonstrated record of satisfactory work performance.
  • Clearances as required by law (Acts 34, 114, and 151).
  • Ability to perform essential job functions satisfactorily.

Key Responsibilities:
  • Manage incoming mail and ensure proper routing to relevant personnel.
  • Assist in maintaining accurate and organized records.
  • Organize and oversee the filing system, ensuring correspondence and records are properly filed.
  • Screen and manage telephone calls for the supervisor, arranging conference calls as needed.
  • Coordinate the supervisor's calendar and schedule appointments efficiently.
  • Welcome visitors and direct them to the appropriate areas or individuals.
  • Plan and coordinate travel arrangements and itineraries.
  • Perform various secretarial duties as assigned by the supervisor.
  • Organize meetings, prepare agendas, reserve facilities, and document minutes.
  • Make copies of documents and correspondence as required.
  • Prepare outgoing mail and correspondence, including electronic communications.
  • Order and maintain office supplies, ensuring equipment is serviced as necessary.
  • Manage the supervisor's budget and financial records.
  • Undertake additional tasks and responsibilities as delegated by the supervisor.
