The Healthcare Administrative Coordinator plays a vital role in managing office operations, maintaining records, and performing receptionist tasks, as well as administrative follow-up duties to support the efficient functioning of a medical practice. This position involves collaboration with the practice manager, healthcare providers, and support staff.

KEY RESPONSIBILITIES:

  • Engage in quality improvement initiatives and contribute to a collaborative team environment.
  • Attend departmental meetings to stay informed and involved.
  • Participate actively in problem-solving discussions as issues arise.
  • Evaluate existing procedures and propose enhancements to improve efficiency.
  • Manage incoming calls, determining their urgency and responding in accordance with established protocols.
  • Facilitate patient communications, ensuring accurate message delivery to the appropriate personnel.
  • Strive for patient satisfaction at the conclusion of each interaction.
  • Maintain and coordinate patient and provider schedules, ensuring timely appointments.
  • Welcome patients warmly and register them according to established guidelines.
  • Confirm patient demographics and insurance details during each visit.
  • Identify and address any barriers to care, such as language or sensory challenges.
  • Ensure a smooth patient flow and communicate any scheduling delays effectively.
  • Assist patients with check-in processes, including technology support.
  • Educate patients about available online services and assist with registration.
  • Verify the accuracy of information during the insurance verification process.
  • Ensure all necessary patient consents are up to date.
  • Demonstrate sound judgment and communication skills, particularly in emergency situations.
  • Oversee the cleanliness and organization of the patient reception area.
  • Possess a foundational understanding of medical terminology and coding practices.
  • Address registration and billing discrepancies promptly.
  • Familiarize oneself with basic medical insurance concepts.
  • Explain charges to patients and collect payments as required.
  • Send necessary documentation to the Central Scanning Team in a timely manner.
  • Manage referral workflows and maintain clear communication with other departments.
  • Review and respond to clerical messages in the in-basket system.
  • Process medical record requests in compliance with relevant guidelines.
  • Adhere to opening and closing procedures as necessary.

PHYSICAL AND SENSORY REQUIREMENTS:

This role requires prolonged periods of sitting, standing, and walking (up to 8 hours). Frequent use of hands for patient care, documentation, and computer tasks is essential. The position may involve lifting up to 25 pounds and occasionally pushing carts or wheelchairs. The ability to stoop, bend, and reach overhead is necessary, along with good hearing and vision capabilities.

EDUCATION:

A high school diploma or equivalent is required, with preference given to candidates who have completed accredited medical assistant or administrative training programs.

TRAINING AND EXPERIENCE:

A minimum of one year of experience in a similar healthcare environment is preferred, or completion of an accredited medical assistant or administrative training program. Strong customer service experience is highly valued.
