Administrative Coordinator

The Building Secretary plays a crucial role in ensuring the smooth operation of administrative functions within the Allentown School District. This position is responsible for managing various clerical tasks, facilitating communication, and supporting the supervisor in daily activities.
Qualifications:
- Two to three years of relevant experience and/or training.
- Proficient in completing assigned administrative tasks with accuracy while upholding strict confidentiality regarding human resources information.
- Ability to comprehend and follow instructions, correspondence, and memos.
- Mathematical skills to perform basic calculations using whole numbers, fractions, and decimals.
- Capability to execute instructions provided in written, oral, or diagrammatic form.
- Competence in utilizing the Internet for research on documents, methods, and procedures from other districts or organizations.
- Proficiency in Microsoft Office applications, particularly spreadsheets and word processing.
- Consistent record of satisfactory work performance.
- Clearances as required by law (Acts 34, 114, and 151).
- Ability to perform essential job duties satisfactorily.
Key Responsibilities:
- Manage incoming mail, ensuring appropriate correspondence is routed to the supervisor.
- Maintain accurate records and an organized filing system.
- Screen and answer telephone calls for the supervisor, coordinating conference calls as needed.
- Coordinate the supervisor's schedule, making appointments and managing travel arrangements.
- Welcome visitors and direct them to the appropriate areas or personnel.
- Prepare agendas, reserve facilities, and record minutes for meetings.
- Handle outgoing correspondence, including emails and faxes.
- Order and maintain office supplies and arrange for equipment maintenance.
- Assist in managing the supervisor's budget and perform additional tasks as assigned.
