Position Overview:
The Building Secretary plays a crucial role in ensuring the smooth operation of administrative functions within the Allentown School District. This position involves a variety of tasks aimed at supporting the administrative team and enhancing the overall efficiency of the office.

Qualifications:
- A minimum of two to three years of relevant experience or training in an administrative capacity.
- Proven ability to handle assigned administrative tasks with precision while upholding strict confidentiality regarding sensitive information.
- Strong reading comprehension skills for interpreting instructions, correspondence, and memos.
- Proficiency in basic arithmetic operations, including addition, subtraction, multiplication, and division.
- Capability to follow instructions provided in written, oral, or diagrammatic formats.
- Competence in utilizing the Internet for research and analysis of documents and procedures from various organizations.
- Familiarity with essential software applications, particularly Microsoft Office, including spreadsheet and word processing tools.
- A consistent record of satisfactory work performance and compliance with criminal and child abuse clearance requirements (Acts 34, 114, and 151).
- Ability to fulfill essential job responsibilities effectively. Reasonable accommodations may be made for individuals with disabilities to perform essential functions.

Key Responsibilities:
  • Manage incoming mail by reading and routing it appropriately, ensuring that relevant files are attached for supervisor response.
  • Assist in maintaining accurate and organized records.
  • Establish and uphold an efficient filing system, ensuring correspondence and records are properly filed for supervisor access.
  • Screen and manage supervisor's telephone calls, coordinating conference calls as necessary.
  • Organize and maintain the supervisor's calendar, scheduling appointments as required.
  • Welcome scheduled visitors and direct them to the appropriate areas or personnel.
  • Coordinate travel arrangements and itineraries for the supervisor.
  • Perform various secretarial duties as assigned by the supervisor.
  • Facilitate meetings by preparing agendas, reserving facilities, and recording or transcribing minutes.
  • Produce copies of correspondence and other documents as needed.
  • Prepare outgoing mail and correspondence, including electronic communications.
  • Order and manage office supplies, coordinating equipment maintenance as necessary.
  • Maintain the supervisor's budget and financial records.
  • Take on additional tasks and responsibilities as delegated by the supervisor.
