Administrative Operations Coordinator

The selected candidate will provide vital administrative assistance to the office, ensuring smooth operations and effective project management. Reporting directly to the Coordinator, the individual will support the Acting Coordinator, Chief of Staff, and Deputy Coordinators in various initiatives.
Key Responsibilities:
- Offer comprehensive administrative support, including managing travel arrangements, maintaining inventory of supplies, and overseeing the calendar of the Acting Coordinator.
- Update and manage the office's Shared Point Site to facilitate information sharing.
- Prepare essential materials for high-level meetings and public engagements, both domestically and internationally.
- Act as a liaison with senior officials, ensuring timely communication and correspondence management.
- Screen and prioritize incoming correspondence, directing important issues to the appropriate personnel.
- Assist in logistical planning for meetings, including creating visual presentations using advanced software applications.
- Compile confidential reports and background materials to prepare the Acting Coordinator for interactions with government officials and international leaders.
- Provide backup support to other administrative staff, ensuring continuity in office functions.
- Facilitate internal meetings and training sessions related to administrative policies and procedures.
Qualifications:
The ideal candidate will possess experience in document management and distribution, familiarity with database management, and strong analytical skills. Proficiency in Microsoft Office Suite is essential, along with the ability to manage multiple tasks in a fast-paced environment.
Excellent written and verbal communication skills are required, along with the ability to work independently and collaboratively within a diverse team. A Bachelor's Degree is preferred, but not mandatory.
Special Skills:
Successful candidates will demonstrate flexibility, adaptability, and a commitment to professional development in a dynamic work environment. Knowledge of U.S. foreign affairs and the ability to obtain a security clearance at the Top Secret/SCI level are advantageous.
