Position Summary
The organization is in search of a proactive, organized, and highly motivated professional with a minimum of three to five years of relevant experience. This role encompasses a wide array of responsibilities, including but not limited to: (i) overseeing office operations, (ii) providing executive administrative support, (iii) assisting in management's public and investor relations initiatives, and (iv) performing various general functions that enhance organizational productivity.

The ideal candidate will be a self-starter capable of exercising sound judgment in diverse situations, possessing strong administrative, organizational, written, and verbal communication skills, and adept at balancing multiple priorities while meeting deadlines.

Key Responsibilities

  • Office Management Duties
    • Handle incoming calls, inquiries, and requests
    • Oversee office inventory and procure supplies as necessary
    • Coordinate maintenance with vendors for kitchen equipment
    • Ensure the office's physical appearance and organization
    • Sort and distribute incoming correspondence to relevant departments
    • Process checks for the accounting team
    • Organize company events such as holiday celebrations and volunteer activities
    • Manage both electronic and physical document filing systems
    • Maintain relationships with vendors
    • Collaborate with building management to uphold the office space
    • Assist in onboarding new hires and facilitating introductions
    • Support the Executive team in planning and coordinating quarterly Board meetings and events, including materials, venues, catering, and communication
    • Act as the primary contact with corporate offices in other locations
  • Administrative Support Functions
    • Arrange travel and accommodations in a consistent and proactive manner
    • Maintain calendars for senior team members
    • Prepare for meetings and coordinate logistics
    • Compile documents for meetings requiring travel
    • Review monthly corporate credit card account activity
    • Assist with the management team's expense reports
    • May serve as a Notary for the office, either through existing certification or future certification sponsored by the Company
  • Public and Investor Relations Assistance
    • Support the head of Investor Relations in coordinating external public and investor relations activities
    • Prepare conference materials and conduct background research for the executive team
    • Assist in the production of investor presentations
    • Help with planning and travel logistics for investor meetings and conferences
    • Make periodic updates to the Company's website

Qualifications

  • Bachelor's degree with demonstrated academic achievement in English or Business preferred
  • 3-5 years of relevant experience, preferably in executive support
  • Strong organizational skills with the ability to prioritize multiple tasks with high attention to detail
  • Excellent written and verbal communication skills
  • Experience in event planning and/or travel coordination preferred
  • Emotional maturity and effective interpersonal skills
  • Strong problem-solving abilities and sound judgment
  • Proficient in Microsoft Office Suite
  • A self-starter with a strong sense of urgency and good self-management discipline
  • A mature, confident team player who adapts to change and remains calm under pressure
  • Candidates must possess strong ethical character, intellectual curiosity, and a sense of humor

Compensation
The base pay range for this role is between $80,000 to $90,000, dependent on skills, experience, training, knowledge, licensure, certifications, and other organizational needs.
