The Administrative Operations Coordinator plays a crucial role in delivering administrative assistance across various offices within a significant governmental agency.

Key Responsibilities:

Be proactive and self-motivated in addressing the needs of the office and its personnel to ensure smooth operations;
Act as the time and attendance liaison for government employees, which may range from five to 85, depending on the work unit;
Ensure adherence to relevant policies and regulations, maintaining accurate documentation of leave and payroll procedures for auditing purposes;

Demonstrate the ability to accurately manage Time and Attendance within the department's payroll system and assist with various payroll-related inquiries (such as premium pay, leave, and Compensatory Time), while collaborating with the payroll office to guide staff through complex leave scenarios including parental leave, FMLA, and LWOP.

Provide assistance to staff regarding travel arrangements, utilizing the e2 travel system to seek approvals and accurately complete travel vouchers;
Draft and uphold office-wide Standard Operating Procedures (SOPs) related to travel, supplies, and more.
Monitor incoming and outgoing requests to the General Services Division (GSD) using the GSD Tracker to create new requests and oversee the status of existing ones;
Effectively manage multiple competing priorities while seeking guidance when necessary;
Coordinate the onboarding process for new personnel in collaboration with the sponsor team, providing relevant checklists and ordering necessary government-issued equipment, including cell phones and laptops;
Facilitate the closeout process for departing employees, ensuring the return of government property and deactivation of badge access;
Serve as a case worker for the Consular task force as needed;
Notify relevant parties when an employee is assigned a workspace or issued equipment, and when equipment is returned upon departure;
Perform additional tasks and responsibilities as assigned by the immediate Government manager.
Provide escort services as required.

Required Qualifications:

High School Diploma with a minimum of two (2) years of experience in a similar role.
Proficient in Microsoft Office Suite (including Word, PowerPoint, Excel, Teams, SharePoint, and Outlook);
Ability to produce error-free final documents (letters, memorandums, speeches, briefing papers, etc.), many intended for upper management and high-level officials;
Capability to adapt to the evolving needs of the office and/or directorate;
Ability to work collaboratively within a team as well as independently;
Exemplary organizational, communication, and customer service skills.
