POSITION SUMMARY
MELE Associates, Inc. is looking to enhance our national security and intelligence team by bringing on board an Administrative Operations Coordinator. This role will be pivotal in supporting a significant client within the Department of Energy (DOE). The Administrative Operations Coordinator will assist the DOE's Office of the Associate Under Secretary for Environment, Health, Safety, and Security (EHSS) by managing a variety of administrative tasks, including correspondence management, document organization, spreadsheet updates, scheduling, and more. This is a full-time position available for the right candidate.

ESSENTIAL FUNCTIONS
The Administrative Operations Coordinator will provide essential clerical and administrative support for the daily functions at DOE, which includes handling sensitive information, collaborating with field personnel, arranging travel, and performing various office tasks. Key responsibilities include:
  • Manage classified and sensitive documents, ensuring proper handling, destruction, and reproduction.
  • Oversee incoming and outgoing correspondence within the office, along with effective filing and record management.
  • Create and edit documents, utilize scheduling software, manage graphics, spreadsheets, and electronic mail.
  • Provide typing support for correspondence and reports, manage document distribution, travel arrangements, and general office tasks.
  • Ensure that mail requiring action is directed to the appropriate Federal Security Specialist or Director.
  • Assist in the examination, sending, and distribution of mail and materials to and from DOE Operations Offices.
  • Offer technical support by analyzing cross-cutting issues and responding to inquiries from senior management and stakeholders.
  • Develop and apply computer models and analytical tools for quantitative analysis of findings across multiple offices.
  • Innovate new methods and tools for mission support activities applicable to various offices.
  • Provide technical, administrative, and publication support, including editing and printing for reviews and reports.
  • Conduct information management activities, including performance needs analyses.
  • Support program initiatives such as training needs analysis and independent policy reviews.
  • Deliver specialized expertise in information management, analysis, and strategic planning.
  • Perform additional duties as assigned.
MINIMUM REQUIREMENTS
  • High School Diploma, GED, or equivalent.
  • Active DOE Q clearance is required.
  • A minimum of five (5) years of experience in administrative support, document creation, and report production in a multi-person organization.
  • Strong interpersonal communication skills and experience in managing correspondence and record management.
  • Proficiency with advanced software in a Local Area Network (LAN) environment, including document creation and scheduling tools.
DESIRED KNOWLEDGE, SKILLS AND ABILITIES
  • Associate degree or higher from an accredited institution.
  • Seven to ten years of experience in administrative or clerical roles, preferably within the DOE.
LOCATION:
  • This is a full-time onsite position.
  • Telework options are available with a requirement to be in the office at least three days a week, based on in-person meeting needs.
