Job Overview

POSITION SUMMARY

The Program Support Specialist plays a crucial role in aiding the execution of various initiatives within the Field Office that deliver case management and a spectrum of social services aimed at enhancing the well-being and economic independence of refugees and immigrants. This position involves collaborating with staff to manage social service cases by evaluating client requirements, assisting in the formulation and execution of service strategies, and recommending necessary services. Responsibilities include scheduling client appointments, providing transportation, supporting staff during arrivals, facilitating housing arrangements, documenting services in case files, offering interpretation when applicable, organizing donations, and performing a variety of other tasks as needed. This role is on-call and reports directly to the Field Office Director.

KEY RESPONSIBILITIES

  • Ensure the precision and promptness of all social services rendered to clients.
  • Assist in the allocation of funds to meet client needs.
  • Support program staff in reaching program objectives.
  • Help Case Managers maintain files by updating management systems and physical records while ensuring confidentiality.
  • Carry out additional job-related tasks as assigned by supervisors.

QUALIFICATIONS

  • A Bachelor's degree from an accredited institution or a minimum of two years of relevant experience is preferred.
  • Strong communication and writing skills for effective collaboration.
  • Highly adaptable with the ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Excellent organizational and time-management skills; capable of working both independently and as part of a team, demonstrating self-motivation and the ability to meet deadlines.
  • Proficient in MS Word, MS Excel, and database management.
  • Ability to establish and maintain professional relationships with partner organizations.
  • Commitment to the values of the organization, including respect for individuals, confidentiality, and appreciation for a diverse workplace.
  • Dedication to the human rights of refugees, immigrants, and displaced individuals.
  • Compliance with the organization's mandatory COVID-19 vaccination policy.

TRAINING REQUIREMENTS

  • Successful completion of the organization's Orientation and Training program.
  • Engagement in additional training as determined by supervisors or Human Resources.

PHYSICAL REQUIREMENTS

  • Ability to perform tasks requiring manual dexterity, visual and auditory acuity.
  • Capability to engage in repetitive motions, prolonged sitting and standing, and sustained mental focus.
  • Occasional lifting of up to 25 pounds, along with bending and carrying.
  • Basic mathematical skills for quantitative tasks.
