Administrative Coordinator for Residential Services

The Administrative Coordinator plays a vital role in managing and streamlining the administrative operations of a DDA Residential Group Home. This position is essential for ensuring efficient facility management, maintaining precise documentation, and offering support to both staff and residents.
Key Responsibilities- Oversee and maintain comprehensive resident documentation, including personal details, medical records, and financial information.
- Handle employee documentation, including timekeeping, leave applications, and performance assessments.
- Assist in crafting and enforcing policies and procedures to align with DDA standards and regulations.
- Organize and coordinate appointments, meetings, and events for both staff and residents.
- Manage inventory for the facility, including procurement and upkeep of supplies, equipment, and medications.
- Compile and submit various reports, including incident documentation, progress updates, and financial summaries.
- Act as a liaison between the group home and external entities, such as healthcare professionals, government bodies, and community organizations.
- Provide administrative assistance to the Group Home Manager and other team members as required.
- Ensure the confidentiality and security of sensitive information and documentation.
- Continuously seek and implement process enhancements to improve the operational efficiency of the group home.
- Assist in financial management, including monitoring expenditures and identifying potential cost-saving measures.
- Engage in quality assurance initiatives, such as audits and inspections, to uphold high standards of care and service delivery.
- Collaborate with the Group Home Manager to assess staff training needs and organize professional development opportunities.
- Represent the group home at community functions and advocate for the rights and needs of individuals with developmental disabilities.
- Oversee the implementation and management of technological systems, such as electronic health records and communication tools, to enhance record-keeping and communication accuracy.
- Bachelor's degree in Business Administration, Healthcare Administration, or a related discipline; or equivalent professional experience.
- A minimum of 3 years in an administrative capacity, ideally within a healthcare or social services environment.
- In-depth knowledge of DDA regulations, policies, and procedures.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with database management.
- Exceptional organizational, time management, and problem-solving abilities.
- Strong written and verbal communication skills.
- Ability to work autonomously as well as collaboratively within a team.
- Experience with individuals with developmental disabilities is advantageous.
- Possession of a valid driver's license and reliable transportation.
- Demonstrated leadership and interpersonal skills, with the capacity to adapt to evolving situations and prioritize multiple tasks in a dynamic environment.
- A profound understanding of the unique needs and challenges faced by individuals with developmental disabilities, coupled with a commitment to fostering their independence, well-being, and quality of life.
Work Environment: The Administrative Coordinator operates within a residential group home setting and may be required to work flexible hours, including evenings and weekends, to address the needs of the facility and its residents.
Physical Requirements: The role may involve lifting and moving objects weighing up to 25 pounds, as well as standing, sitting, and walking for extended periods.
