Essential Qualifications

Minimum of five years of relevant experience. Additional education beyond high school may be considered as part of this experience.

  • Education: A college degree is highly preferred, or an equivalent combination of education and pertinent business experience.
  • Exemplary administrative and communication skills, including proficiency in writing, scheduling, and managing time and projects.

  • Shows enthusiasm for and knowledge of the performing arts sector, especially theatre.
  • Outstanding organizational abilities with a strong capacity to prioritize tasks in a dynamic environment with competing demands.
  • Demonstrated project and/or program management capabilities. Excellent interpersonal and communication skills.
  • Ability to work autonomously with minimal oversight.
  • Capable of managing sensitive and confidential information with care.
  • Proficient in using various software applications. Some roles may necessitate advanced skills in word processing, spreadsheets, and/or databases; candidates may be assessed on relevant computer skills as needed.
  • Typing speed (wpm) may be required based on job responsibilities.

Position Overview
  • Oversee intricate calendars, responding promptly and effectively to a high volume of scheduling requests and adjustments, exercising considerable independent judgment to identify and resolve potential conflicts for the Executive Director.
  • Act as the primary communication conduit for staff, articulating the Executive Director's strategic objectives and agenda, and serving as a liaison between the Executive Director, the boards, and the A.R.T. staff.
  • Assist in the planning and execution of institutional events alongside A.R.T. staff and board members, such as opening nights and donor cultivation events, and represent the A.R.T. at these occasions, within the community, and at Harvard University.
  • Establish agendas for board of trustees and board of advisors meetings, as well as all board committee meetings; approximately 40 annually.
  • Prepare necessary content and materials, manage technology, scheduling, staffing, and note-taking for these meetings, and conduct essential follow-up.
  • Perform additional responsibilities as required to further the theater's mission.

This position is primarily based on-campus, in Massachusetts. This may include in-person during emergency situations (if applicable). Further details will be discussed during the interview process.
