Position Summary: We are seeking an experienced Executive Assistant to provide comprehensive administrative support to our New Jersey Partners and senior Principals, managing a complex schedule with precision.
Key Responsibilities:
- Foster productive relationships with clients and their assistants to streamline information flow and scheduling.
- Organize and maintain essential filing systems, time sheets, and expense reports.
- Manage incoming correspondence by sorting, screening, and prioritizing mail; respond to inquiries as necessary.
- Coordinate and schedule both client and internal meetings efficiently.
- Address information requests from case teams, committees, and practice areas.
- Oversee travel arrangements for the Partner, including transportation, flights, and accommodations.
- Assist with personal tasks to optimize the Partner's time.
- Provide telephone support and maintain confidentiality at all levels.
General Administrative Support:
- Perform various administrative tasks such as typing, managing phone calls, handling mail, copying, faxing, filing, and maintaining calendars.
- For Practice Area (if applicable): Organize committee meetings, arrange conference calls, reserve meeting spaces, and coordinate catering services.
- Prepare and distribute meeting agendas and materials, attend meetings, take notes, and follow up on action items.
- Support committee events by managing invitation mailings, tracking responses, and updating mailing lists and databases.
- Collaborate with team members to provide additional administrative support to the New Jersey office, including event coordination and guest services.
- Participate in select meetings and training sessions.
- Provide backup assistance to other Executive Assistants and the Reception Desk as needed.
Qualifications:
- 7-10 years of administrative support experience, preferably in a professional services environment.
- Proficient in MS Word, Excel, PowerPoint, and Outlook.
- Strong organizational skills with the ability to manage competing priorities in a fast-paced setting.
- Detail-oriented, service-oriented, and a collaborative team player.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
