Job Overview

Position Summary:
The Office Operations Specialist is tasked with overseeing administrative responsibilities associated with the site's communication and financial operations within the distribution center. This role also encompasses various administrative and human resources functions as directed by the management team.

Key Responsibilities:
  • Welcome and assist visitors, vendors, and guests at the site.
  • Monitor and replenish office supplies as necessary.
  • Organize and distribute mail/packages appropriately.
  • Prepare outgoing correspondence and packages.
  • Generate and issue customer invoices.
  • Process vendor invoices and prepare them for payment.
  • Create financial and production reports as required.
  • Support and participate in program audits and site communication initiatives.
  • Manage and track purchase orders for the facility, completing necessary reports.
  • Ensure all Certificates of Insurance for current and potential vendors comply with Kenco standards and are up-to-date.
  • Compile and update daily reports for site leadership.
  • Perform data entry for order processing in various systems.
  • Organize employee events and coordinate meetings as requested by management.
  • Update various metric and communication boards.
  • May assist with HR functions such as onboarding and managing attendance records.
  • Cross-train in other roles to provide backup support when necessary.
  • Complete miscellaneous tasks and projects as assigned by management.
Qualifications:
  • High School Diploma or GED is required.
  • A minimum of two years of clerical experience is preferred.
  • Proficiency in MS Office Suite, including Word, Excel, Outlook, and PowerPoint, along with data entry and typing skills.
  • Strong verbal and written communication skills; ability to effectively engage with customers and employees.
  • Meticulous attention to detail and commitment to data accuracy.
  • Capability to read and interpret documents such as safety regulations and operational instructions.
