Position Summary
The Office Operations Specialist is tasked with managing administrative duties related to communication and financial operations within the distribution center. This role also encompasses various human resources responsibilities as required by the management team.
- Welcome and assist visitors, vendors, and guests at the site.
- Monitor and replenish office supplies as necessary.
- Organize and distribute mail/packages appropriately.
- Prepare outgoing correspondence and packages.
- Generate and manage customer invoices efficiently.
- Process vendor invoices and prepare them for payment.
- Create financial and production reports as required.
- Support program audits and site communication tasks.
- Manage purchase orders for the facility and maintain related reports.
- Ensure that Certificates of Insurance for vendors comply with company standards.
- Compile and update daily reports for site leadership.
- Perform data entry for order processing in various systems.
- Organize employee events and coordinate meetings as directed by management.
- Update various metric and communication boards regularly.
- May assist with HR functions such as onboarding and attendance management.
- Cross-train in additional roles for backup support when necessary.
- Complete miscellaneous tasks and projects as assigned by management.
- High School Diploma or GED is required.
- A minimum of two years of clerical experience is preferred.
- Proficiency in MS Office Suite, including Word, Excel, Outlook, and PowerPoint, along with data entry skills.
- Strong verbal and written communication skills; ability to engage effectively with customers and colleagues.
- Detail-oriented with a focus on data accuracy.
- Ability to interpret safety guidelines and operational instructions.
