Role Overview: We are seeking a top-tier candidate to fulfill this vital position. The ideal applicant is motivated, highly organized, detail-oriented, and enthusiastic about engaging with people. With a friendly disposition and a proactive mindset, you will assist our team by ensuring seamless transaction processes and supporting Kyle with executive responsibilities.

Primary Responsibilities:

Transaction Management:

  • Oversee all facets of real estate transactions from initiation to completion.
  • Ensure all documentation is thorough, precise, and adheres to regulatory requirements.
  • Coordinate with clients, agents, lenders, inspectors, and other stakeholders to guarantee timely and efficient transactions.
  • Monitor and manage transaction timelines, ensuring all parties meet essential deadlines.
  • Maintain transaction files and records in both digital and physical formats.
  • Provide regular updates to clients and team members regarding transaction progress.

Executive Support:

  • Deliver high-level administrative assistance to Kyle, the team leader.
  • Manage Kyle's schedule, appointments, and travel logistics.
  • Assist in preparing for meetings, including drafting agendas and recording minutes.
  • Handle sensitive information with the highest level of confidentiality and professionalism.
  • Support Kyle with various personal and professional tasks as required.
  • Act as a liaison between Kyle and other team members, clients, and external partners.

Qualifications:

  • Demonstrated experience as an Administrative Coordinator, Executive Assistant, or in a comparable administrative capacity.
  • Outstanding organizational and multitasking abilities.
  • Strong attention to detail and precision.
  • Excellent communication and interpersonal skills.
  • Ability to work autonomously and collaboratively within a team.
  • Proficiency in real estate software, Microsoft Office Suite, and CRM systems.
  • Positive attitude, proactive approach, and a genuine desire to assist others.
  • Familiarity with real estate practices or knowledge is preferred.
