Reports To: VP of Early Childhood Administration

Status: Full-Time, Year-Round, Exempt

About ODC Network: ODC Network is a nonprofit organization committed to promoting outdoor education and conservation in West Michigan. Central to our mission is the ODC Early Childhood Network, where we provide nature-focused discovery preschools in the region. We aim to deliver enriching early childhood learning experiences for children aged 0-5, nurturing their social, emotional, and academic growth.

Role Purpose: The Office Coordinator will collaborate closely with the Early Childhood leadership and other staff members to deliver essential business and administrative support to the Site Director and Assistant Site Director. This includes clerical assistance, enrollment management, systems oversight, and general operational support.

Key Responsibilities:

  • Oversee daily operations of childcare management systems and software.
  • Facilitate student enrollment processes.
  • Assist in managing the Preschool Calendar and coordinate calendar invites for leadership.
  • Digitize written notes from staff meetings and share them as directed.
  • Engage effectively with students, staff, and families.
  • Uphold fairness, dignity, and respect in all interactions while maintaining confidentiality.
  • Support the Early Childhood Leadership Team with various tasks and projects as needed.
  • Handle routine phone inquiries and manage call routing.
  • Prepare and maintain records, reports, and correspondence related to office functions.
  • Manage student attendance records and communicate with families regarding absences.
  • Assist with tuition payment processing and maintain accurate records.
  • Coordinate logistics and procurement for meetings and supplies.
  • Manage inventory of outdoor equipment.
  • Support leadership with additional tasks and projects as assigned.
  • Ensure efficient management of program registration and enrollment.
  • Complete necessary reporting for state and local health departments.
  • Assist Preschool offices in organizing documentation for licensing and enrollment.
  • Foster and maintain vendor relationships as required.
  • Take on additional projects as directed by leadership.

Supervision: The Office Coordinator will receive supervision and evaluation from the VP of Early Childhood Administration. This role does not include supervisory responsibilities.

Qualifications:

  • Associate's degree or higher in business, administration, communications, or a related field.
  • Experience in a similar role is preferred but not mandatory.
  • Proven ability to maintain a welcoming and efficient office environment.

Skills Required:

  • Exceptional organizational skills with the ability to multitask and adapt to changing priorities.
  • Strong written and verbal communication abilities.
  • Ability to work collaboratively and independently, with strong interpersonal skills.
  • Familiarity with Google Suite, MS Office, and information management systems.
  • Ability to connect with preschool-aged children, families, and community members.
  • Self-motivated with effective prioritization skills.
  • Interest in nature and outdoor activities.
  • Completion of a comprehensive childcare background check is required.
  • Bilingual in English and Spanish is highly preferred.
  • Ability to communicate clearly and effectively in various settings.
  • Flexibility to transition between office and classroom environments as needed.
  • Demonstrated integrity and responsibility in meeting the needs of children and families.
  • Commitment to personal and professional development, embracing teamwork and adaptability.
  • Ability to maintain confidentiality in all matters.
  • Strong technology proficiency.
  • Genuine interest in supporting young children and their families.
  • Ability to work effectively both in a team and independently.

Physical Requirements: This position involves various physical activities, including pushing, pulling, climbing, walking, standing, and lifting. Work is conducted both indoors and outdoors.

Equipment Proficiency: Proficiency in Microsoft Office applications, Google Suite, and general office equipment is essential.
