About ODC Network: ODC Network is a nonprofit organization committed to outdoor education and conservation across West Michigan. Central to our mission is the ODC Early Childhood Network, where we proudly provide nature-based discovery preschools in the region. Our focus is on delivering enriching early childhood learning experiences for children aged 0-5, nurturing their social, emotional, and academic development.

Role Purpose: The Office Coordinator will collaborate closely with the Early Childhood leadership and other staff members to deliver essential business and administrative support to the Site Director and Assistant Site Director. This includes clerical assistance, enrollment management, systems oversight, and general support for daily operations.

Key Responsibilities:

  • Oversee daily operations of childcare management systems and software.
  • Facilitate student enrollment processes.
  • Assist in managing the Preschool Calendar and coordinate calendar invites for leadership.
  • Digitize written meeting notes and share them with relevant parties as directed.
  • Engage effectively with students, staff, and families.
  • Uphold fairness, dignity, and respect in all interactions while maintaining confidentiality.
  • Support the Early Childhood Leadership Team with various tasks and projects as assigned.
  • Handle routine phone inquiries, take messages, and route calls appropriately.
  • Prepare and manage documentation related to building functions, including records and correspondence.
  • Maintain student attendance records and communicate with families regarding absences.
  • Assist with tuition management and coordinate with the VP of Early Childhood Administration.
  • Organize logistics and procurement for meetings and office supplies.
  • Manage inventory of outdoor gear.
  • Provide additional support to the Site Director and VP of Early Childhood Administration as needed.
  • Efficiently manage program registration and enrollment processes.
  • Complete necessary reporting for state and local health departments.
  • Assist Preschool offices in establishing processes and organizing documentation for licensing and enrollment.
  • Develop and maintain vendor relationships as required.
  • Take on additional tasks and projects as assigned by leadership.

Supervision: This position will receive supervision and evaluation from the VP of Early Childhood Administration and does not have supervisory responsibilities.

Qualifications:

  • Associate's degree or higher in business, administration, communications, or a related field.
  • Experience in a similar role is preferred but not mandatory.
  • Proven ability to create and maintain a welcoming and efficient office environment.

Skills and Competencies:

  • Exceptional organizational skills with the ability to multitask and adapt to changing priorities.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively and independently with strong interpersonal skills.
  • Proficiency in Google Suite, MS Office, and various information systems.
  • Capacity to connect with preschool-aged children, families, and community members.
  • Self-directed in prioritizing office tasks.
  • Interest in nature and outdoor activities in varying weather conditions.
  • Successful completion of a comprehensive childcare background check is required.
  • Bilingual in English and Spanish is highly preferred.
  • Ability to communicate clearly and effectively.
  • Flexibility to transition between office and classroom environments as needed.
  • Demonstrated integrity, responsibility, and suitability for working with children and families.
  • Commitment to personal and professional growth, embracing change and teamwork.
  • Ability to maintain confidentiality in all matters.
  • Strong technological proficiency.

Physical Requirements: This role involves various physical activities, including pushing, pulling, climbing, walking, standing, and lifting. Work is conducted both indoors and outdoors.

Equipment Proficiency: Proficiency in Microsoft Office applications, Google Suite, and general office equipment is essential.
