Position Overview

The Operations and Events Coordinator plays a pivotal role in the planning, organization, and execution of key events across the campus. This position is integral to the development and implementation of comprehensive support strategies, programming for Living Learning Communities, and recruitment initiatives.

This role is a full-time, 12-month, renewable appointment within the academic professional personnel series, reporting directly to the Director.

Key Responsibilities

Supervision, Communication, and Operations Management (60%):

  • Supervision: Oversee the recruitment and coordination of undergraduate student staff, including the development of application processes and facilitation of evaluations.
  • Manage the MCAE Student Internship program in collaboration with team members, ensuring alignment with staff requirements.
  • Coordinate the annual nomination process for student awards and scholarships.

Communication:

  • Act as the primary contact for the MCAE Newsletter and manage all social media channels, working closely with the Director and interns to enhance communication strategies.
  • Establish systematic communication timelines to promote events and collaborate with the intern team to create accessible marketing materials.
  • Update and maintain the MCAE website and other media platforms as directed.

Operations Management:

  • Oversee the management of MCAE facilities, including staffing needs and event preparations.
  • Administer central email accounts and shared drives for efficient operation.
  • Manage office supplies and subscriptions to ensure smooth daily operations.
  • Provide front desk coverage as required and maintain data management systems to support unit sustainability.

Event Coordination and Program Support (40%):

  • Lead logistical planning for major MCAE events, ensuring successful execution through effective partnership with the Director and team members.
  • Build and sustain relationships with campus partners to foster collaborative programming.
  • Serve as a representative on advisory boards and act as an ambassador for MCAE.
  • Flexibility to work evenings and weekends as necessary to support events.

Program Support:

  • Assist in the development of Living Learning Community programming and holistic support initiatives.
  • Create event planning templates and provide guidance to Assistant Directors on logistics and budgets.
  • Conduct one-on-one support meetings with students to address their needs.
  • Collaborate with the university community to enhance programming for upperclassmen.
  • Perform additional duties as assigned.

Salary will be commensurate with qualifications and experience.

Qualifications

Required:

  • Bachelor's Degree with a minimum of 4 years of relevant experience in administration, event coordination, or student support.
  • Demonstrated ability to develop effective academic support strategies for diverse student populations.
  • Strong understanding of equity and diversity in relation to student development and event management.
  • Excellent verbal and written communication skills.
  • Proficiency in Google Suite, Microsoft Office, and Adobe software.

Preferred:

  • Master's Degree in Higher Education or a related field.
  • Three years of experience in a higher education setting.
  • Familiarity with tools such as Canva, Mailchimp, and Qualtrics.
  • Experience in supervising student staff.
