Position Overview

The Event Operations Supervisor plays a crucial role in overseeing a diverse array of events organized by the event management team. These events encompass conventions, trade shows, and various ceremonies.

Key Responsibilities
  • Act as the primary client liaison during events in the absence of the Event Manager.
  • Oversee event execution and operations to ensure client satisfaction.
  • Collaborate with operational and support teams to finalize event details.
  • Ensure all necessary items for events are prepared, including signage and room arrangements.
  • Maintain the readiness of common areas to provide an exceptional experience for all attendees.
  • Supervise the setup of rooms and occasionally assist in arranging furniture and equipment.
  • Support the Event Management team with scheduling and various administrative tasks.
  • Promote the effective utilization of the venue complex.
  • Complete additional tasks as directed by senior management.
Exhibitor Services Management

Manage the exhibitor ordering process, which includes:

  • Pre-event, event day, and post-event activities related to orders and payment reconciliation.
  • Act as the customer service representative for exhibitor inquiries regarding venue services.
  • Oversee the exhibitor services website to ensure it is user-friendly for both exhibitors and staff.
  • Perform other assigned duties as necessary.
Qualifications

Education & Experience: A minimum of one year in an event-related role, ideally within a meetings or hospitality environment.

Knowledge & Skills:

  • Understanding of facility management and event planning fundamentals.
  • Familiarity with technical production equipment.
  • Experience in guest service practices for large groups.
  • Able to work collaboratively in a team setting with diverse personalities.
  • Basic computer proficiency and experience with Microsoft Office.

Personal Attributes: Strong communication skills, ability to manage challenging situations under pressure, and a commitment to high-quality customer service.

Work Environment

This position typically requires working second shift hours, with the flexibility to work evenings and weekends as needed. The ability to thrive in a fast-paced event environment and adapt to last-minute changes is essential.

Physical demands include standing for extended periods, light lifting, and the ability to transport items weighing up to 50 pounds.
