The Event Operations Supervisor is tasked with overseeing a diverse array of events organized by the event management team. These events encompass conventions, trade shows, and graduation ceremonies, among others. This role acts as a support system for the event management team and serves as the venue liaison between clients, renters, and operational staff.

Key Responsibilities
  • Act as the primary client contact during events in the absence of the Event Manager
    • Oversee event operations to fulfill client requirements.
    • Coordinate and discuss event specifics with operational and support teams.
    • Ensure all necessary items for events are prepared, including signage, room arrangements, and exhibitor services.
    • Maintain the readiness of common areas to guarantee an exceptional experience for all attendees.
    • Supervise room setups and assist in the arrangement of tables, chairs, and equipment as needed.
    • Support the Event Management team with scheduling and various administrative tasks.
    • Promote the effective utilization of the venue complex.
    • Perform additional tasks as assigned by the Senior Event Manager and Event Management staff.
  • Oversee exhibitor services
    • Manage the exhibitor ordering process, including pre-event, event day, and post-event activities related to ordering and payment reconciliation.
    • Serve as the point of contact for exhibitor inquiries regarding venue services (e.g., electrical, internet, water).
    • Administer the exhibitor services website to ensure it is user-friendly for both exhibitors and staff.
    • Carry out other duties as required.
Position Requirements
  • Bachelor's degree is preferred.
  • Minimum of one year in an event-related role, ideally within a meetings or hospitality environment.
Knowledge & Experience
  • Fundamentals of facility management or event planning.
  • Familiarity with technical production equipment.
  • Understanding of guest service practices for large groups.
  • Experience working collaboratively in a team with diverse personalities and skill sets.
  • Basic computer proficiency and experience with Microsoft Office are preferred.

  • Ability to communicate effectively with various individuals and manage challenging situations under pressure.
  • Capable of performing detailed work while delivering high-quality customer service.
  • Strong planning, organizational, and supervisory skills.
  • Adept at diagnosing and resolving a variety of issues.

Work Conditions
  • Regular schedule typically involves second shift hours.
  • Must be available to work irregular hours, including evenings and weekends.
  • Ability to thrive in a fast-paced event environment and adapt to last-minute changes.
  • Physical capability to stand for extended periods, perform light lifting, and transport items up to 50 pounds.
  • Physical requirements include various movements such as sitting, walking, standing, bending, and lifting.
