Position Overview:

We are in search of a proactive individual for the role of Senior Executive Coordinator and Office Manager. This essential position is integral to the seamless functioning of our dynamic biotech setting, providing executive assistance to senior leadership while managing various human resources functions. The role demands outstanding organizational capabilities, meticulous attention to detail, confidentiality, and the aptitude to efficiently manage a diverse array of responsibilities.

Key Responsibilities:
  • Deliver comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating appointments.
  • Draft and distribute correspondence, reports, presentations, and other necessary documents.
  • Serve as a liaison between executives and both internal and external stakeholders, addressing inquiries and requests with professionalism and discretion.
  • Assist in company communication efforts, including regular updates to staff, management of social media accounts, leadership reports, and newsletters.
  • Enhance employee engagement by organizing company events and activities, including meal and snack arrangements.
  • Act as the primary contact for company guests throughout their visit.
  • Collaborate with HR on various initiatives such as onboarding new hires and employee recognition programs, ensuring smooth integration of new team members.
  • Plan and oversee corporate events such as Scientific Advisory Board meetings, company retreats, Town Halls, and celebrations.
  • Manage the inventory of branded company materials, including merchandise and business cards.
  • Identify opportunities to enhance company culture and improve operational efficiency across departments; lead specific initiatives as necessary.
  • Assist in managing and optimizing office space and support any future relocations to ensure minimal disruption and maintain productivity.
  • Act as the first point of contact for IT-related issues, troubleshooting minor technical problems related to conference rooms and equipment.
  • Provide occasional administrative support to key personnel by serving as a backup Executive Assistant to the leadership team.
  • Proactively identify areas for enhancing the employee experience and collaborate cross-functionally to implement positive changes.
  • Support the recruitment process by assisting with interview scheduling, travel arrangements, and logistics for prospective candidates.
  • Engage in special projects as they arise, aligning with your interests and career aspirations.
Qualifications:
  • Bachelor's Degree.
  • A minimum of 5 years of administrative or office management experience in a fast-paced environment.
  • Experience in a start-up setting is highly preferred; familiarity with the biotech sector is advantageous.
  • Ability to work independently while maintaining a high level of confidentiality.
  • Demonstrated flexibility and professional maturity to understand priorities and anticipate needs.
  • Capability to manage competing priorities and deliver critical assignments punctually and within budget.
  • A positive, proactive attitude, strong teamwork skills, and excellent judgment.
  • Proficiency in calendar management, event planning, and meeting coordination.
  • Advanced skills in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint, along with experience in setting up systems and databases.
  • Exceptional written and verbal communication skills, with a keen attention to detail and the ability to multitask effectively.
  • A friendly, responsive demeanor with a proactive approach.
  • Experience interacting with senior leadership.
  • Able to thrive in a fast-paced organization with competing priorities.
