POSITION SUMMARY
As the Lead Executive Coordinator, you will report directly to the CEO and play a vital role in delivering comprehensive administrative support to the executive leadership team. This position is essential for facilitating the CEO's objectives and managing competing priorities in a dynamic setting. You will frequently engage with key internal and external stakeholders, including board members, investors, and strategic partners. KEY RESPONSIBILITIES
- Collaborate with the executive team and key stakeholders on various administrative initiatives and projects;
- Oversee the scheduling and management of the CEO's and CSO's calendars, ensuring adequate preparation time for meetings and effectively resolving scheduling conflicts with discretion;
- Promptly escalate inquiries when independent judgment is not applicable;
- Manage incoming communications, including emails and phone calls, while organizing and tracking required actions and deadlines;
- Coordinate meetings, conference calls, and events, including venue reservations, sending invitations, managing attendee lists, and assisting with materials preparation;
- Monitor action items and ensure timely follow-up;
- Perform administrative tasks such as drafting documents, letters, and presentations, proofreading, and maintaining organized records;
- Arrange travel logistics and accommodations, including complex international travel arrangements;
- Handle expense management for the CEO and CSO;
- Collaborate with the Chief People Officer on social events and other team-related initiatives, including interview scheduling and benefits assistance;
- Serve as the primary contact for the organizational structure and coordinate administrative efforts with the executive team and board members;
- Manage office operations, including supply orders and general office support;
- Assist with special projects as directed by the CEO.
QUALIFICATIONS
- A bachelor's degree and a minimum of five years of experience in a biotechnology setting supporting executive leadership;
- Proven experience in engaging with high-level external stakeholders, including board members and investors;
- Ability to handle sensitive information with professionalism and confidentiality;
- A proactive self-starter with a strong work ethic and the ability to thrive in a collaborative team environment;
- Demonstrated capacity to excel in a fast-paced and dynamic work environment.
