Senior Executive Coordinator

At HelpSystems, we are looking for a dedicated Senior Executive Coordinator to provide comprehensive support to our President.
In this pivotal role, you will serve as a strategic ally, managing a variety of responsibilities that include calendar oversight, travel arrangements, expense tracking, email management, and other designated projects.
This position offers a unique chance to utilize your expertise in time management to enhance the productivity of key leaders within a rapidly expanding software solutions company.
KEY RESPONSIBILITIES
• Prioritize the President's schedule to ensure alignment with critical objectives by coordinating meetings and managing intricate calendars that adapt to changing priorities.
• Oversee event coordination tasks, including organizing meetings at industry conferences, sales kickoffs, leadership gatherings, and collaborating with marketing for trade shows.
• Enhance organizational efficiency by keeping the President informed and prepared for upcoming commitments.• Assist in project execution and manage the development of high-quality presentations, including coordinating agendas and collaborating with contributors to create impactful materials.
• Arrange both domestic and international travel logistics.
• Support meeting preparation by creating slides, editing presentation content, and providing valuable insights and suggestions.
• Organize, prioritize, and manage sensitive and confidential information, ensuring timely action is taken.• Handle expense report management and submission.
• Draft, route, and process written and verbal communications.
• Act as a gatekeeper with a clear understanding of company priorities and the President's objectives.
• Perform general administrative tasks such as taking detailed notes, compiling data for reports, and managing phone communications while adapting to shifting priorities.
• Collaborate effectively with fellow Executive Assistants to ensure seamless communication and alignment within the executive team.
QUALIFICATIONS
• A minimum of 5 years of professional experience supporting executives, with a solid understanding of the software sales landscape.
• A passion for partnering with leadership to foster a positive culture, enhance efficiency, and improve employee experience.• Exceptional organizational and prioritization skills, coupled with a keen attention to detail.
• Ability to proactively manage multiple tasks in a dynamic, high-growth environment.
• Proficient in the Microsoft Office 365 suite and digitally savvy.
• Experience supporting a Chief Revenue Officer or similar sales executive is highly advantageous.
• Strong communication skills with the ability to engage with stakeholders at various levels.
• A self-motivated individual capable of working independently, anticipating needs, and making informed decisions with minimal supervision.
