Role Overview: We are currently seeking an Executive Assistant to join our Utility Services team in a remote capacity. This role will provide vital administrative support to the senior leadership team, reporting directly to the Vice President of Utility Services.

Key Responsibilities:

  • Manage all administrative tasks for the utility services senior leadership team, including scheduling meetings, coordinating travel, and handling correspondence.
  • Oversee the distribution of information and reports, ensuring effective communication across functional and executive levels.
  • Prepare and edit professional documents, spreadsheets, presentations, and other materials as needed.
  • Organize and lead various client and employee engagement events.
  • Act as a liaison between senior leadership and both internal and external stakeholders.
  • Work independently with minimal supervision while maintaining high standards of professionalism.
  • Assist in project management and ensure timely completion of initiatives.
  • Coordinate domestic and international travel, managing budgets effectively.
  • Maintain executive calendars, resolving scheduling conflicts and ensuring efficient use of time.
  • Handle confidential information with the utmost discretion.
  • Provide exceptional customer service, addressing issues promptly and ensuring satisfaction for all clients.
  • Perform additional duties as assigned.

Minimum Qualifications:

  • High school diploma or equivalent.
  • A minimum of five years of experience in executive administrative support.
  • Strong ethical standards and the ability to build effective relationships.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Experience in data analysis, financial reporting, and program auditing.
  • Ability to manage multiple priorities and complex assignments effectively.
  • Resourceful and solution-oriented, with a proven track record of supporting senior leadership.
  • Meticulous attention to detail.

Preferred Qualifications:

  • Bachelor's degree from an accredited institution.
  • Experience in a corporate environment within a matrix organization.
