Position Overview
As an Administrative Coordinator for Climate Initiatives, you will play a pivotal role in providing high-level administrative support to senior executives within the Climate Finance team. This position requires a professional with outstanding organizational abilities and communication skills, capable of juggling multiple tasks while maintaining precision and attention to detail.
Your Responsibilities
In this role, you will:
- Assist 2-4 senior leaders, including a Managing Director, with calendar management, partner engagement, travel arrangements, expense tracking, meeting preparation, and material synthesis.
- Support the daily administrative functions of the Climate Finance team, collaborating closely with the Program Operations Lead.
Key Duties
Executive Support
- Manage individual and shared calendars for leadership, ensuring they are well-prepared for meetings and engagements.
- Act as the primary point of contact for leadership, streamlining communication with internal and external stakeholders.
- Submit timesheets and expense reports promptly, maintaining all necessary documentation.
Travel and Event Coordination
- Oversee logistical arrangements for domestic and international travel, including visa processes and event planning.
- Quickly adapt to changes in travel schedules, ensuring accuracy in all arrangements.
- Coordinate team events and retreats, managing vendor contracts and securing necessary supplies.
Program Support
- Serve as the main point of contact for troubleshooting issues related to various software platforms.
- Maintain organized file management systems, ensuring efficient document sharing and access.
Dependability and Professionalism
You will be expected to:
- Assist with projects beyond your primary responsibilities, delivering quality work with minimal oversight.
- Handle unexpected changes with grace, maintaining a positive and solution-oriented approach.
- Exhibit a high level of professionalism in all interactions, representing the organization effectively.
Qualifications
The ideal candidate will possess:
- 3-5 years of experience as an Executive Assistant in a professional setting.
- Exceptional written and verbal communication skills.
- Experience in planning events and managing travel logistics.
