Position Overview

The Office Coordinator will play a pivotal role in supporting the administrative functions of a dynamic and expanding organization. This position involves direct interaction with clients, necessitating a polished and professional demeanor in both face-to-face and telephonic communications.

Key Responsibilities:

  • Deliver prompt and professional administrative support to team members and executives to enhance overall productivity.
  • Collaborate closely with the Investment Operations team to manage calendar invites and meeting arrangements.
  • Handle travel and expense reporting, along with various administrative tasks as required.

Core Duties Include:

  • Draft, edit, and troubleshoot documents utilizing Microsoft Office Suite (proficiency in PowerPoint, Word, and Excel is essential).
  • Assist in the creation and assembly of presentations and materials for client meetings.
  • Organize and facilitate meetings and conference calls.
  • Maintain both physical and electronic filing systems for company and client investment documentation.
  • Support team members with project-based assignments.
  • Manage Outlook inboxes, ensuring proper documentation and record-keeping.
  • Coordinate meetings and events effectively.
  • Assist executives with travel scheduling.
  • Provide backup for reception duties, including answering calls and directing clients and visitors.
  • Oversee the maintenance of office supplies and kitchen areas.
  • Assist with facilities coordination as needed.
  • Perform additional duties as assigned.

Qualifications:

  • A college degree is preferred.
  • A minimum of 3 years of administrative experience in a financial services environment or a comparable field.

Required Skills and Attributes:

  • Exceptional attention to detail.
  • Proactive approach with the ability to take initiative.
  • Strong multitasking abilities and capacity to prioritize tasks in a fast-paced, detail-oriented setting.
  • Intermediate to advanced proficiency in Microsoft Office (Outlook, Word, and Excel are essential), including knowledge of formatting techniques.
  • Excellent verbal and written communication skills.
  • Foreign language proficiency is a plus.

Physical and Other Requirements:

  • Ability to perform essential job functions in compliance with ADA, FMLA, and other applicable standards.
  • Consistent and punctual attendance is required.
  • Must be able to lift and carry up to 20 lbs.
  • Effective communication skills for telephone interactions.

Compensation:

The salary range for this position is $50,000 - $65,000, which is an estimate based on various job-related factors including location, education, skills, and experience. This range does not encompass benefits or other potential compensation forms.
